FLEXIBLE BENEFITS MARKETING ASSISTANT


REPORTS TO
:     Flexible Benefits Missoula Marketing Rep     LOCATION: Tualatin                          FLSA STATUS:  Non-Exempt

 POSITION RESPONSIBILITIES:

The Flexible Benefits Department Marketing Assistant performs technical and clerical duties as they relate to the implementation, enrollment and maintenance of flexible benefit plans and assist with providing service to flex clients. This position is a part-time and will be 30 hours per week.

 The incumbent is expected to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.

 ESSENTIAL JOB FUNCTIONS:

Essential job functions include the following.  Other functions may be assigned as business conditions change.

  1. Learn and keep current on IRS regulations governing flex plans including Code Sections 105, 125 and 132.
  2. Answers telephone calls from prospective and current clients regarding the administration of flexible benefit plans.
  3. Prepares employee packets for flex participants.
  4. Works closely with flexible benefits department staff to coordinate customer groups' re-enrollments.
  5. Notifies clients of IRS reporting requirements and tracks responsibility for such reporting.
  6. Supplies checklists and enrollment materials to brokers as needed.
  7. Interacts with supervisors and flex staff to provide a free exchange of ideas and information.
  8. Serves as account manager for assigned set of clients.
  9. Assists with preparation of 5500 reports for all flexible benefits groups.
  10. Assists with discrimination testing.
  11. Develops and assists with updating of flex marketing materials.
  12. Assists with quarterly flex newsletter.
  13. Represents the company and communicates our flexible benefit plan services at benefit fairs.
  14. Contributes to the daily workflow with regular and punctual attendance.

NON-ESSENTIAL JOB FUNCTIONS:

  1. Performs related or other assigned duties as required or directed.
  2. Claims Processing.
  3. Special Projects as assigned.

JOB SPECIFICATIONS:

Minimum Education:                                         High school graduation or GED required. 

Certification(s) Required:                                None.                    

Minimum Experience:                                       Experience with computers and customer service required. 

Other Qualifications:                                              Excellent oral and written communication skills required.

     PC skills, including Windows, Excel and Word.  Must be able to adapt to software changes as they occur.

     Ability to learn flexible spending account regulations as defined in Sections 105, 125 and 132 of the Internal Revenue Code.

     Strong mathematical skills.

     Ability to enter data with accuracy and precision.

     High level of interpersonal skills to work effectively with others.

     Ability to organize and recall large amounts of information including interactions with employees, agents, plan participants and clients.

     Ability to read, analyze and interpret benefit summary plan descriptions, insurance documents and regulations.

     Ability to project a professional image and positive attitude in any work environment.

     Ability to comply with privacy and confidentiality standards.

     Ability to analyze and solve problems with professionalism and patience, and to exercise good judgment when making decisions.

     Ability to operate typical office equipment.

     Working knowledge of general office procedures.
